Rolling Up Our Sleeves: Scriptorium's Story
SharePoint does not fix bad habits: moving to a new system will not fix your document management challenges because you will carry the same issues with you.
As Scriptorium grew, we eventually made the important and difficult decision to overhaul our document management system. Both the company and technology had evolved beyond our initial solutions, so it was time to move to SharePoint online.
One option was a fast launch. We could have our IT company simply transfer everything to SharePoint for us. However, we saw an opportunity in migrating all documents ourselves. It was truly an eye-opening experience in documentation systems design.
While an IT company handled our email addresses and calendars, we deleted, archived, and aligned files. We set up landing pages for teams and management, document libraries with metadata and automations, a digital glossary, and more. Our SharePoint was not going to be a dumping ground for files; we examined our processes and built a site that made sense for our team.
We went from having important documents buried in subfolders to having an interactive intranet site. Our team no longer has to worry about the risks that come from working with outdated, redundant documentation. Quick links direct them to frequently accessed pages, and naming conventions make file searches effortless. Thanks to these organizational strategies, our SharePoint site reflects how the Scriptorium team naturally operates.
